Preparing verifiable evidence

Public where possible. Securely shared where necessary. Always linked to the requirement it supports.

Build an evidence index

  1. Use the standard ID. Label each entry A01–A06 or M01–M06 and identify the specific requirement.
  2. Identify the document. Give its title, date and the relevant page or section. Use the current version of an existing document.
  3. Provide an online source. Link to the issuing registry, public institutional page or a controlled document repository accessible to the assigned reviewers.
  4. Explain what it proves. Add a short statement connecting the evidence to the requirement. A policy needs operational evidence where the standard asks for practice.
  5. State limitations. Explain missing records, date gaps, translation limitations and requested non-applicability. Do not conceal them.

Public evidence

Legal registration, institutional identity, education descriptions, fees, refund terms, complaints procedures and privacy information should be accessible on stable public HTTPS pages.

A screenshot alone is insufficient where an original registry or policy page can be linked. Reviewer notes record the URL and date checked; current evidence takes priority over archived claims.

Confidential evidence

Educator records, teaching examples and anonymised learner feedback can be shared through restricted online access. Online-verifiable does not mean publicly visible.

Remove learner names, personal identifiers, sensitive health data, home addresses and passwords. Use anonymised or redacted samples. Do not upload information you are not authorised to share.

Document rules and review tools

Provide searchable PDF files or stable HTTPS links. Give the reviewer access for the agreed review period; do not embed passwords or access tokens in the application. Where translation is needed, supply the original and a clearly labelled English translation. CQASE may request independent confirmation of important claims.

The application accepts one optional PDF evidence pack, up to 10 MB, alongside a standards-based evidence index. Supporting documents are accessible only to authorised reviewers and are not published in the public register.

Reviewers verify evidence against the original source, record findings and allow applicants to correct factual errors. The final decision is made by an authorised person separate from the reviewer.
