Assign responsibility and agree the scope

Nominate a coordinator who can gather evidence across the institution and an authorised representative who can confirm its accuracy. Involve the people responsible for teaching, assessment, learner support, data and governance rather than asking one person to create all the records.

Write a short scope statement identifying the legal entity, locations, learner groups and delivery methods. Resolve inconsistencies between the registry, website and application before submission. Give a corporate unit or subsidiary a precise organisational boundary.

Complete a self-assessment

Read A01–A06 and note which existing link or document supports each area. A short explanation is enough; a separate self-assessment report is optional.

The standard pack consists of identity and website links, learner terms and privacy information, one teaching example, one or two educator profiles, a feedback sample and a one-page improvement plan. Reuse the same source where it covers several areas. Do not create minutes, incident logs or financial reports solely for this application.

The teaching example and feedback must come from real delivery. Redact personal details and explain any limits to the sample. An institution that has not started teaching can apply for membership instead.

Build a usable evidence index

One shared folder or online index can cover the whole application. Organise it under A01–A06 and identify the relevant document or page for each area. Record a title and date so the reviewer can find the current source; the CSV template is optional.

Link public identity and learner information directly where possible. Give assigned reviewers access to private supporting material for the review period. Do not include passwords or learner identities.

Enter one shared folder or index link in the form; it covers all six areas unless you add separate links. One searchable PDF of up to 10 MB can be attached optionally. A single handbook can contain several policies. Additional evidence is requested only to resolve a specific gap, inconsistency or unrepresentative sample, with the reason explained.

Prepare for the review discussion

A meeting is not a routine entry requirement. Where a source is unclear or a demonstration would help, CQASE may arrange a short remote call with the person responsible. The request identifies what needs clarification so the institution can prepare that example.

Use a controlled demonstration instead of sharing real learner accounts or passwords. CQASE records any remaining question and the agreed response date. One corrective follow-up is included in the initial fee; the final decision remains with a person separate from the reviewer.
